Tent Camp Co. – Tent Rental Service Agreement & Liability Waiver
This Agreement is entered into between Tent Camp Co. (“Company”) and the
undersigned Renter (“Customer” or “You”) as of the date of rental. By signing
this document, you agree to the following terms and conditions:
1. Rental Terms
• Rental Period: The rental period begins on the agreed date and ends upon
the return of the tent and all accessories in good condition.
• Rental Fee: The Customer agrees to pay the total rental fee as outlined in
the invoice, including any deposits, delivery charges, or late fees.
• Security Deposit: A refundable security deposit may be required. Deductions
will be made for any damages, missing items, or excessive cleaning required.
2. Customer Responsibilities
• The Customer agrees to use the tent and all rented equipment in a safe and
proper manner.
• The Customer is responsible for any loss, theft, or damage to the tent and
accessories during the rental period, regardless of cause.
• The Customer must inspect the tent upon delivery or pickup and notify Tent
Camp Co. immediately of any existing damage or missing parts.
3. Prohibited Uses
• Tents shall not be used in extreme weather conditions, including high
winds, storms, or snow, unless specified as rated for such use.
• Tents shall not be set up on unstable or dangerous terrain.
• The use of open flames, heaters, or cooking devices inside the tent is
strictly prohibited unless otherwise stated by Tent Camp Co.
4. Cancellation & Refund Policy
• Cancellations made more than 7 days in advance are eligible for a full
refund.
• Cancellations within 3-7 days will be subject to a 10% cancellation fee.
• Cancellations within 3 days will be subject to a 50% cancellation fee.
• No refunds will be issued for early returns or unused rental periods.
5. Security Deposit
• A security deposit may be required prior to rental. This deposit will be
refunded upon return of the Equipment in acceptable condition. Any loss,
damage, or cleaning fees will be deducted from this deposit.
6. Rental Fee and Payment Terms
• Full payment is required at the time of reservation unless otherwise agreed
in writing. Accepted forms of payment include credit card, debit card, or
other methods approved by Tent Camp Co.
7. Credit Card Authorization
• By signing this Agreement, the Renter authorizes Tent Camp Co. to charge
their credit card for any applicable fees, including rental fees, cleaning
charges, damage costs, late fees, and replacement costs.
8. Age Requirement
• All renters must be 21 years of age or older to reserve and rent camping
equipment from Tent Camp Co.
9. No Subleasing
• Rented tents and equipment may not be subleased, loaned, or transferred to
any other individual or party. Only the person named on the rental agreement
is authorized to use the equipment for intended purpose. The individual
reserving the tent must also be the primary occupant during the rental
period. Third-party bookings are not permitted.
10. Credit Card on File
• A valid credit card is required to be kept on file for the duration of the
rental. This card may be used for additional charges, damages, or incidentals
as outlined in the rental agreement.
11. Tent Usage Guidelines
• All tents must be used in accordance with the manufacturer’s guidelines and
the safety standards outlined by Tent Camp Co. Failure to comply with these
guidelines may result in immediate termination of the rental agreement,
forfeiture of funds, and liability for any damages. Additionally, renters who
violate these terms may be permanently banned from making future reservations
with Tent Camp Co.
The following rules apply to all tent rentals:
• No open flames (including grills, fire pits, or candles) are permitted
inside or within 10 feet of the tent.
• No smoking is allowed inside the tent at any time.
• Tents must be placed on flat, stable ground and kept clear of sharp
objects, tree branches, or other potential hazards.
• Do not attempt to move or reconfigure the tent after it has been
professionally set up by Tent Camp Co. staff.
• No climbing, hanging, or attaching items to the tent structure.
12. 48-Hour Reservation Window
• Reservations must be made at least 48 hours in advance to ensure
availability and adequate time for scheduling delivery and setup.
13. Right to Refuse Service
• Tent Camp Co. reserves the right to refuse service to anyone at its sole
discretion, including if the renter fails to meet these policies or presents
safety concerns.
14. Breach of Contract
• In the event of a breach of this rental policy or contract, including but
not limited to misuse, unauthorized subleasing, or noncompliance with setup
instructions, no refunds will be issued and Tent Camp Co. retains the right
to recover any damages or losses.
15. Reservation Changes and Equipment Return
• All requests to alter a reservation (including date, location, or rental
duration changes) must be submitted to Tent Camp Co. Changes are subject to
availability and may incur additional charges. Late returns, unauthorized
extensions, or failure to allow pickup may be considered a breach of contract
and can result in the renter being barred from future rentals and charged for
any resulting losses or scheduling disruptions.
• All rented equipment must be returned or made available for pickup at the
scheduled date and time agreed upon in the rental confirmation. Failure to
return equipment on time may result in additional daily rental fees or
replacement charges, as determined by Tent Camp Co.
16. Assumption of Risk & Waiver of Liability
By signing this agreement, the Customer acknowledges and agrees that:
• Tent Camp Co. is not responsible or liable for any injury, theft, loss,
damage, or death that may occur in connection with the use, setup, or
presence of its tents or equipment, regardless of whether such incidents
arise from accidents, environmental conditions, user error, or misuse.
• By entering into this rental agreement, the renter acknowledges and assumes
all risks associated with camping and the use of temporary structures. The
renter agrees to use the equipment at their own risk and holds Tent Camp Co.,
its owners, employees, contractors, and affiliates harmless from any and all
claims, liabilities, damages, or expenses, including those arising from
negligence or unforeseen incidents.
• Camping and outdoor activities involve inherent risks, including but not
limited to weather hazards, wildlife encounters, injury, or death.
• The Customer voluntarily assumes all risks associated with the use of the
tent and related equipment.
17. Indemnification
• The Customer agrees to indemnify and hold harmless Tent Camp Co. from any
and all claims, actions, liabilities, damages, and costs (including legal
fees) arising from the Customer’s use, misuse, or failure to return the
rental equipment in acceptable condition.
18. Acknowledgment
By signing below, the Customer confirms they have read, understood, and
agreed to all terms outlined in this agreement and waiver.
